Let’s talk about the team:

We are seeking a tech-enabled Executive Support Specialist to transform how administrative support is delivered across our organization. Based in Kuala Lumpur, this role is part of our larger Shared Services team, working closely with colleagues across regions and reporting directly to a manager in San Diego, CA, USA.

The ideal candidate may come from one of two paths:


• An Executive Assistant/Administrative professional excited to adopt automation and AI to modernize support.
• An Automation/Workflow specialist eager to apply technical expertise in an executive-facing environment.

As an Executive Support Specialist – Digital Enablement, you will:


• Provide centralized executive assistant–style support.
• Apply your expertise in Power Automate, AI tools, and workflow optimization to redesign how administrative tasks are managed (from scheduling and travel booking to purchase order approvals and transactional workflows).
• Create digital-first solutions that reduce friction, increase efficiency, and elevate the employee and manager experience.
• Contribute to engagement activities and build Shared Services capability by coaching teammates in automation.

Let’s talk about the role:

Automation & AI Enablement

  • Design, test, and maintain automated workflows for administrative and operational processes, including:
    • Calendar management and meeting coordination.
    • Travel booking and approvals.
    • Purchase order (PO) and expense approval processes.
    • Document routing, signatures, and records management.
    • Broader operational and administrative workflows.
  • Implement AI-powered solutions (Copilot, GPT, bots) to improve efficiency for executive assistants, managers, and employees.
  • Continuously assess workflows to identify opportunities for automation, simplification, and scalability.

Executive Administrative Support (Technology-Enabled)

  • Provide centralized EA-style support for executives remotely, balancing hands-on administrative tasks with automation-enabled workflows.
  • Anticipate executive needs and deliver proactive, seamless support for calendar, travel, approvals, and expenses.
  • Partner closely with other Executive Assistants and leaders to design workflows that are both efficient and intuitive.

Employee & Manager Experience

  • Ensure automation solutions make work simpler and more intuitive for executives, assistants, and employees.
  • Champion human-centered solutions that enhance, not diminish, the personal experience of support.
  • Act as a trusted partner within the Administrative Assistant People Experience organization.

Engagement & Events

  • Support employee engagement activities (wellness, recognition, culture events).
  • Bring presence, passion, and commitment when supporting live, in-person events.

Collaboration, Training & Schedule

  • Work as part of a global Shared Services team, collaborating across regions.
  • Report directly to a manager in San Diego, USA, ensuring global alignment.
  • Train and coach colleagues by sharing automation and AI expertise, enabling teammates to design and deliver their own solutions.
  • Work onsite in the Kuala Lumpur office two days per week (Wednesdays & Thursdays) and work from home the remainder of the week.
  • Adjust working hours on Tuesdays and Fridays (early morning to mid-afternoon) to overlap with San Diego colleagues.

Let’s talk about you:

Required (either track acceptable):

Track A (EA-first):

  • 2–4 years of experience as an Executive Assistant, Administrative Assistant, or Shared Services or professional, supporting executives or senior leaders.
  • Strong understanding of executive workflows (calendar, travel, expenses, approvals).
  • Demonstrated curiosity and willingness to learn automation and AI tools.

Track B (Tech-first):

  • 1–3 years of experience in automation, workflow design, or administrative process optimization.
  • Strong expertise in Microsoft Power Automate (flows, connectors, Outlook, Teams, SharePoint integrations).
  • Strong expertise with AI productivity tools (Copilot, GPT, chatbots).
  • Willingness to develop EA support skills (confidentiality, executive presence, proactive admin support).

Shared Competencies (all candidates):

  • Excellent collaboration skills; ability to partner across geographies.
  • Excellent written and verbal communication skills; confident and discreet when engaging with executives.
  • Strong communicator who takes ownership and initiative, is a relentless improver with customer empathy, and is results-oriented.
  • Passionate about employee and manager experience, eager to design solutions that make work easier.
  • Problem-solving mindset with the ability to translate pain points into elegant, scalable solutions.

Preferred:

  • Experience supporting or partnering with executive assistants or administrative professionals.
  • Knowledge of HRIS, finance, or travel systems (Workday, Concur, Egencia, etc.).
  • Exposure to employee experience or culture initiatives.
  • Degree in Human Resources or related field (considered an asset).
