GBS centralizes some of the processes across Jacobs and focuses on process excellence while also advancing the transformation initiative through additional work migration.
As our L&D Specialist, you'll play a crucial role in coordinating and administering global learning and development programs. You'll be the linchpin in ensuring seamless delivery of training initiatives across multiple time zones and regions.
RESPONSIBILITIES:
- Coordinate global training programs and sessions, ensuring seamless planning and execution across multiple time zones and regions:
- Oversee enrolment process, monitor participation, address issues related to registration or attendance
- Coordinate logistic-related arrangements (e.g. book training rooms, send invitations)
- Stay connected and engaged with participants, facilitators, and business stakeholders to provide status updates, advice and support
- Provide participant data, training completion reports and evaluation data
- Create and maintain training coordination processes and procedures to make sure training programs are delivered and coordinated in an effective and consistent way
- Continuously improve existing processes by identifying gaps and inefficiencies
- Liaise with other L&D team members, facilitators, project managers or local administrators for required training support.
- Use the Learning Management System (LMS) to schedule training based on business requirements, manage enrolments (including recommendations on cancellations, re-scheduling, additional communications) and track training completion
- Manage employee queries through the ticketing system, ensuring timely resolution and exceptional customer care
- Review and update existing and create new knowledge resources to ensure a smooth and effective ticket resolution process to enhance efficiency and employee experience
- Assist with planning and coordinating learning projects, working collaboratively with other team members and stakeholders to support smooth progress and delivery
QUALIFICATIONS:
- Experience in HR and/or L&D Administration and Coordination
- Familiarity with global operations, showcasing the ability to engage effectively with international teams and stakeholders
- MS Office Suite – Excel advanced (e.g., VLOOKUP)
- Learning management systems
- Basic project management knowledge and/or skills will be an advantage
- High proficiency in English in written and spoken communication
- Ability to communicate effectively in a variety of communication settings: one-on-one, small and large groups, among diverse styles and position levels
